Description

The Manager, Library Administration works under the direction and supervision of the Principal
Librarian (and will be responsible for library duties as agreed between the President and
Principal Librarian as outlined in the 2019-2023 CBA). This position will support any/all activities
related to the efficient running of The Philadelphia Orchestra Library, including but not limited to the bowing of string parts, correcting page turns, assisting with audition music preparation,
scanning and digitizing music, cataloging, assisting musicians with various requests/musical
needs, checking in and returning rental music, ensuring that musician stage folders are
accurately prepared in a timely manner, and providing expertise and guidance to all who
interact with The Philadelphia Orchestra Library.

Position Responsibilities:

Assist with music preparations, including but not limited to proofing and editing, adding bar numbers and/or rehearsal letters, cuts, edits/inserts, and mending and/or reparation of deteriorating parts/scores
Mark string parts with bowings and other performance indications as notated/created by conductor, concertmaster, and principal string players
Assists and supports Principal Librarian and Librarian with supplying music for all
Philadelphia Orchestra functions such as auditions, residencies, and education and community programs
Help maintain The Philadelphia Orchestra music collection and catalogue
Receive and inventory new music acquisitions (including stamping and numbering of
new sets) and rental music
Ensure prompt return of rented or borrowed materials in adherence to publisher
agreements
Responsible for the scanning of scores and bowing masters for The Philadelphia Orchestra Association’s bowing archive as well as ensuring all post performance bowing masters of rental music are scanned and archived
Assist conductors, musicians, guest artists, and The Philadelphia Orchestra Association’s administration with needs related to printed music
Provide additional support to both Principal Librarian and Librarian regarding licensing and copyright related issues, including tracking and licensing acquisition
Additional duties/tasks as assigned

Specific Conditions of Work:

The hours and days of work may vary widely depending on the time needed to fulfill the
responsibilities of the position; this position may require some occasional night and weekend
work.

Qualifications:

Education and experience:
Degree in music or equivalent musical knowledge of standard orchestral repertoire, composers, music history, and performance practice
Three or more years’ experience working in a professional orchestra library
Library research skills and familiarity with reference sources
Ability to transcribe parts and copy parts quickly and legibly using both computer notation software and hand manuscript notation; use binding equipment and photocopier
Proficiency with standard computer software programs and digital platforms in orchestra library work; knowledge of Microsoft Office, Windows, Word, Excel, Outlook, Photoshop, and Adobe Acrobat; experience with ArtsVision is helpful
Fluency in musical terms in Italian, German, and French

Knowledge, Skills and abilities:

Strong interpersonal and written/verbal communication skills with the ability to work with a diverse set of constituencies
Ability to work independently as well as on a team
Exemplary organizational and problem-solving skills
Experienced in project planning, including time management
Ability to handle multiple tasks accurately and concurrently while under deadlines
Provide expertise and guidance to all who interact with The Philadelphia Orchestra Library
