The New York Philharmonic connects with up to 50 million music lovers each season through live concerts in New York and around the world, as well as broadcasts, recordings, and education programs. The 2022–23 season marks a new chapter in the life of America’s longest living orchestra with the opening of the reimagined David Geffen Hall and programming that engages with today’s cultural conversations through explorations of HOME, LIBERATION, SPIRIT, and EARTH, in addition to the premieres of 16 works. This marks the return from the pandemic, when the NY Phil launched NY Phil Bandwagon, presenting free performances across the city, and 2021–22 concerts at other New York City venues.

The New York Philharmonic seeks an Assistant Production Manager to provide administrative and operational support for all activities of the Philharmonic’s Production Department, as well as the domestic and international touring activities of the orchestra.

Responsibilities include:

Participate as part of the “Production Manager Team” and “Concert Duty Manager Team” rotations on an as-assigned basis, working evenings, weekends and holidays.
Develop and plan production logistics for events and projects as assigned (including schedules, staging, lights, sound, instruments, equipment and misc. operations); monitor and maintain budgets for assigned events.
Work closely with Director, Touring and Operations to develop, distribute, and track all tour materials, including per diem, reimbursements, tour forms, hotel and flight lists, guest requests, billing and invoicing, foreign currency, passport list and tour packets.
Coordinate visa/work permit application process for international tours; including collecting, assembling, and preparing all necessary materials for visa and work permit applications for orchestra and staff.
Travel with orchestra on tours as assigned; assist in all orchestra tour logistics, including but not limited to, travel and hotel arrangements, performance venue logistics, Music Director hospitality, etc.
Support Production Department staff with general administration and support, budget planning, budget reforecasting, invoice processing and expense tracking.

Requirements

Requirements:

Minimum of one year of production-related experience in an orchestra, performing arts center, or presenting organization. Excellent administrative, computer and organizational skills; must be extremely diplomatic with outstanding oral and written communication skills. Familiarity with AutoCAD, Vectorworks, or similar software is highly desirable; experience with orchestral and theatrical production is preferred, including lighting, live sound, audio recording, video and projection, rigging, scenery, props, costumes, stage management, freight/cargo, and similar. Ability to work independently, juggle many projects at once and meet immediate deadlines; good knowledge of music, orchestra repertoire and artist. Must be able to work long hours (mornings, nights and weekends) and have the ability to lift and carry heavy objects (up to 50 lbs.) as needed.
